Room Reservations

For faculty/staff or student organization reservations, please use 25live to submit your space requests. 25Live allows you to book space in Sykes Union or anywhere on campus. We are currently accepting reservations for Sykes Student Union through June 2023. Please visit Advanced Reservation Process for information about events beyond that time.

For questions regarding student organization reservations, please contact Bobby DeMarco at 610-436-3347. For questions regarding faculty, staff, or departmental reservations, you may contact Adriane Reilly  or Barrett McGee at 610-436-0556.

Student Organizations: Organizations may not schedule events during the following periods of spring and fall semester: the day before Reading Day through the end of exams/commencement.

Sykes Union and Student Activities no longer provides parking passes to external guests to campus. All external guests are strongly encouraged to use parking in one of the parking garages on campus that offer hourly/daily rates. Departments may reach out to WCU Parking Services for additional questions.

The chart below displays each meeting room and its lecture set-up capacity. Different furniture configurations may decrease the room's capacity. Please note in the chart below that some spaces have automatic time built into them for set up and takedown time. When looking to reserve a space in 25Live, your event times may need to be adjusted to accommodate this.

How to Use 25 Live

For your convenience, here are some quick tips:

To begin to use the online room reservation system, visit 25Live.collegenet.com/wcupa. We encourage you to use the Mozilla Firefox or Google Chrome web browsers. If you must use Internet Explorer, you may have to follow the directions to add the site to compatibility view.

Sign in to 25Live on the top right hand side of the screen using your network username (do not put @wcupa.edu at the end) and your network password. When you sign in, you'll be on the "home" tab. You can customize this screen. We encourage you to "star" frequently used locations for quick access.

To find a space for your event, you can use the "Find Available Locations" search in the middle of your home page. You can search:

  • Based on the time you would like your event to occur,
    Or,
  • The space where you would like your event to be held.

Once you find a location or a time for your event, double click it, and the event wizard will open with your selection.

To request an event without using search, click:

  • "Create an Event" on your home screen
    Or,
  • Go to the event wizard tab at the top of the site.

Fill out the request form in its entirety, and click "finish" at the end to submit your event for approval. Please note there are multiple pages to the request form.

Your event and space have not yet been approved until you receive an email confirming your event.

Special Event Policies

All of our policies that apply to Student Organizations holding special events on campus are outlined in a document called The Program Planning Guide.

Please note: When you submit an event request you are affirming that you have read and your event will follow the policies set forth in the Program Planning Guide.

  • Assignment of Space
    Reservations are confirmed on a space available basis. Groups will be assigned to space based on the information listed on your 25Live request. Sykes Union reserves the right to reassign rooms to best accommodate all groups.
  • Audio / Visual and Computer Equipment
    If you plan to use an audio, video, computer or any other equipment please inform us when you reserve a room. You can edit room set ups when you select your location, as well as request resources like laptops, microphones and sound systems right on 25Live.

Room 251

  • Location: Second Floor, Sykes
  • Ideal For: Executive Boards, Small Conference Group Meetings
  • Size: This room can hold approximately 18 people at an oval conference table nicely appointed with comfortable chairs.
  • Technology: Monitor/HDMI/Zoom Room capable/RamCast

Room 257

  • Location: Back Hall of Second Floor, Sykes
  • Ideal For: The beautiful custom hardwood table in combination with the high-back executive chairs make for a very professional conference atmosphere.
  • Size: The maximum occupancy for this conference room is 18, making it large enough for a good-sized group, yet small enough to maintain an intimate ambiance.
  • Technology: Monitor/HDMI/Zoom Room capable/RamCast

Room 303

  • Location: Third Floor, Sykes
  • Ideal For: Executive Boards, Small Conference Group Meetings
  • Size: This room can hold 6 people at a small rectangular conference table nicely appointed with comfortable chairs.

Room 010B

  • Location: Ground Floor, Sykes (past the Theatre)
  • Ideal for: As part of Rams Den, this space, along with 10A and the 10 Lounge makes an excellent for a multi-room event.
  • Size: Can seat 25 people in a lecture style seating
  • Technology: Two Monitors/HDMI/RamCast

Room 209

  • Location: Second Floor, Sykes just off the main stairs
  • Ideal for: Lectures and Presentations
  • Size: As one of the largest conference rooms in the building, this room can comfortably seat approximately 45 in a lecture setting.
  • Technology: Monitor/HDMI/RamCast

Room 210

  • Location: Second Floor, Sykes, just off the main stairs
  • Ideal for: Lectures and Presentations
  • Size: Groups of approximately 35
  • Technology: Monitor/HDMI/RamCast

Room 252

  • Location: Second Floor, Sykes
  • Ideal for: Large Presentations where maximum space is required
  • Size: When opened up, it can accommodate a lecture of 75 and a conference of 28 people. When separated, Room A works well as a conference set for 16, and Room B can have a conference set of 12.

Room 254

  • Location: Second Floor, Sykes
  • Ideal for: Conference or Lecture
  • Size: The room can comfortably accommodate a conference of 16 and a lecture of approximately 30.

  • Location: Second Floor, Sykes
  • Ideal for: Conference & Lecture
  • Size: When opened into one room, it will accommodate 70 in a lecture setting and 24 in a conference setting. When separated, room A & B can each accommodate a conference of 12 and a lecture of 30.

Room 10A

  • Location: Ground Floor, Sykes
  • Ideal for: Multi-Room Events
  • Size: Room 10A can fit 108 people in lecture setting. As part of Rams Den, this space, along with 10B and the 10 Lounge - makes an excellent space for multi room events.
  • Technology: Monitor/HDMI

Room 115

  • Location: First Floor, Sykes – Just past Rams Head Food Court
  • Ideal for: Meals, meetings, presentations, and lectures
  • Size: Fantastic multipurpose space room larger events
  • Technology: Projector/HDMI/Microphone

Ballrooms A, B, and C (117 A, B, & C)

  • Location: Various
  • Ideal for: These three rooms form one of our most versatile facilities in Sykes Union. They can be prepared for lectures, banquets, dances, or group activities, both large and small
  • Size: As one large ballroom, we can accommodate groups as large as 500 people for lectures, and banquet seating up to 240. Each ballroom is equipped with internal sound and basic house lighting. Ballroom C provides the user with a large screen and overhead projection that can be used for various visual programs. Ballroom B is especially suited for those programs that seek to minimize distractions as well as natural light due to its enclosed design. Ballroom A offers two grand doors that open into the lobby, which can be opened, entice passersby to come and see what event is taking place.
  • Technology: Projectors/HDMI/RamCast/Microphones/Sound

Theater

  • Location: Ground Floor, Sykes
  • Ideal for: Visual presentations, lectures, small performances that do not require off stage areas
  • Size: Comfortably fit up to 352 people
  • Notes: It is the location for the SAC weekly movie series because it comes equipped with digital projection and wide screen viewing with Dolby 6.1 Surround Sound.
  • Technology: Projector/HDMI/Microphone/RamCast/Zoom Casting options
