Proctoring Center

Where are we located? Right across the hall from the OSSD office on the 2nd floor of Lawrence Center! When you arrive for a scheduled exam, please have a seat in the hallway and a proctor will check you in close to the start of your exam time.

The purpose of the OSSD Proctoring Center is to provide accessible testing in a distraction reduced setting for disabled students who are registered with the OSSD and have a reasonable accommodation that provides the student with the ability to test in an alternate setting. Students should arrange for proctoring at least five business days or more prior to the scheduled test by completing the online Proctoring Center request form

STUDENTS:

When requesting use of proctoring center, please note the following:

  1. ALL REQUESTS MUST BE SUBMITTED AT LEAST FIVE BUISNESS DAYS OR MORE PRIOR TO THE REQUESTED EXAM DATE!
  2. You will need to complete an online OSSD Proctoring Center Request form; by completing the request form, you acknowledge that you understand your rights and responsibilities associated with this accommodation. You also agree that you will abide by the University's Student Code of Conduct and the Honor Code as laid out by the OSSD Proctoring Center.
  3. When your professor has accepted your request, you will receive a confirmation email that will provide scheduling details (if you do not receive a confirmation email, you will need to ask your professor if they have completed their portion of the form).

Quick Tips

A student request is required for EVERY EXAM!

For instance, if you have 3 exams for a Biology class, you will need to complete 3 separate Proctoring Center request forms.

Student requests must be submitted at least one week before the scheduled exam.

Purpose of the Proctoring Center

The purpose of the OSSD Proctoring Center is to provide accessible testing in a distraction reduced setting for disabled students who are registered with the OSSD and have a reasonable accommodation that provides the student with the ability to test in an alternate setting.

Scheduling Protocol

The student will complete the online form:

The student will login using their WCU email credentials and complete all 3 sections of the online form:

      • Section 1: Course Information
        Enter the course and section number and your professor’s WCU email
      • Section 2: Exam Date and Time
        Review the Proctoring Center hours of operation before scheduling; your professor CANNOT schedule an exam for you when the Proctoring Center is not open (please select at least 2 different dates when scheduling)
      • Section 3: Accommodations
        Select YOUR testing accommodations and click submit (notify the Proctoring Center staff by email (ossdpc@wcupa.edu) at least one week in advance of the exam if you need any assistive services and/or technology to complete the exam)

Your completed request will automatically be forwarded to your professor via email.

  1. Your professor will schedule your exam at the Proctoring Center
  2. Once your professor schedules your exam, you will receive a confirmation email that will contain the exam information. If you do not receive a confirmation email that your exam has been scheduled, please follow up with your professor before contacting OSSD Proctoring Center staff.

 

FACULTY

After your student has submitted an online Proctoring Center Request form, please note the following:

  1. You will need to complete your portion of the form at least 48 hours prior to the scheduled exam time.
    • If you will be delivering the exam/test via email or in person, you will need to select PRINT on the Cover page sheet (this appears after your complete your portion of the request form) and include the printed information sheet with the exam/test that is delivered via email or in person.
  2. Upon completion of your portion of the form your student and you will receive a confirmation that their proctoring appointment has been scheduled.
  3. Exams/tests to be emailed to the OSSD: Exams/tests and the Cover page sheet (this appears after your complete your portion of the request form) should be emailed to ossdpc@wcupa.edu at least 24 hours prior to the scheduled exam during normal business hours (Monday - Friday between 8:00 am - 4:00 pm).
  4. Exams/tests to be delivered to the OSSD: Testing materials, including the Cover page sheet (this appears after your complete your portion of the request form), should be delivered at least 24 hours prior to the scheduled exam during normal business hours (Monday - Friday between 8:00 am - 4:00 pm).
    • Professor please note that when you select that an exam/quiz should be scanned back to you please allow our office 24 to 48 business hours to scan the exam back to you.

Scheduling Protocol

    1. A student will initiate the scheduling process by submitting a request online at least a week or more in advance of the requested exam date. The student must specifically request any assistive services and/or technology needed to complete the exam. The student's request will be forwarded to his/her professor.
    2. Faculty will login in using their WCU email and complete the online form.
      • Part 1: Instructor and Student Information
        Only students that have submitted an online student request form can be located in this section. If you cannot locate the student name, please advise the student to submit an online request.
      • Part 2: Exam Information
        Select Course and Section, Proctoring Requirements, Allowable Materials.
        Add additional instructions if needed.
      • Part 3: Exam Scheduling
        First, review Proctoring Center hours of operation on the right of the calendar before scheduling. Faculty cannot schedule an exam when the Proctoring Center is not open. Then select the exam date and start and end time of the exam. The end time should include all time allowed including time and a half or double time. Then hit Submit Request at the bottom of the page.

Faculty, Student, and Proctoring Center will then receive a confirmation email containing the exam details. Please review this email and let Proctoring Center staff know if something is incorrect.

 

Exam Guidelines

  • Students should arrive for their scheduled exam a few minutes prior to the time stated in the confirmation email and must provide their WCU Student ID card prior to taking an exam. The end time of the exam is fixed and will not be adjusted for tardiness. If a student arrives too late to begin the exam (as determined by the OSSD staff), the instructor will be notified by email that the exam will need to be rescheduled.
  • In order to reschedule a missed or cancelled exam, students must submit a new online request form. The OSSD cannot determine the rescheduling of exams.
  • Once a student begins an exam, they must complete the exam within the predetermined time frame without leaving the room.
  • West Chester University’s Code of Conduct is in effect at OSSD. OSSD staff reserves the right to monitor student activity at all times during test administration.
  • Food and drink must be examined by OSSD staff and is not allowed near electronic equipment.
  • All personal items (including, but not limited to, cell phones, smart watches, coats and backpacks) must be checked in by OSSD staff prior to the start of the exam. Electronic devices must be turned off. Staff will monitor these items during the examination period. Complete security is not guaranteed.

Scheduling Protocol

  • Only students who are registered with the OSSD may use the Proctoring Center.
  • Students whose accommodations include a reader and/or a scribe should 

    contact the Proctoring Center

    at least one week in advance of the exam to arrange for a reader and/or scribe.

  • Students must initiate the scheduling process by submitting an OSSD Exam Proctoring Center Request at least a week or more in advance (less notice may be permissible during the summer sessions; the online form will NOT be available during the summer sessions).
  • Students must specifically request any assistive services and/or technology needed to complete the exam.
  • Students' requests will be forwarded to their professors, who must then complete their portion of the OSSD Exam Proctoring Form.
  • Once the student and professor have both completed their portion of the online form, emails are sent to the student, professor and proctoring staff confirming the proctoring appointment.

Do your accommodations include a reader and/or scribe?

  • If your accommodations include a reader and/or a scribe you should  

    contact the Proctoring Center

    at least one week in advance of the exam to make the necessary arrangements.

Suggestions

  • If you do not receive a confirmation email within 3 days of submitting the initial request, then you should email your professor and cc: ossdpc@wcupa.edu.
  • Schedule exams as soon as possible. If you have all your exam dates, schedule all your exams for the entire semester. Please note that a separate request form is required for each test that you wish to take in the Proctoring Center.
