Position Summary:
Cheyney University of Pennsylvania seeks applicants for an Administrative Assistant 1 to provide a variety of financial aid support and services to students and families. Work involves the access and review of student records, the review, interpretation, and explanation of Financial Aid federal regulations and procedures; consultation with professional staff to resolve complex or involved customers inquires; and the delivery of information , assistance, and services for intricate issues to customers and staff. Work is reviewed for accuracy, conformity to applicable laws, rules, regulations, and procedures, and for effective and professional delivery of information and services to the customer. This work requires a high level of data accuracy and requires that the incumbent pay very close attention to detail. This position reports to the Director of Student Financial Services.

Responsibilities:

• Front line office support in greeting guests and answering telephones.
• Responsible for the maintenance of the office outlook calendar
• Responsible for the preparation and mailing of all financial aid correspondence
• Responsible for the collection and documentation of paperwork
• Supervise the student workers within the Student Financial Services Office
• Interprets and explains applicable laws, rules, regulations and procedures. Accesses, reviews, and navigates through the Universities’ record systems to review and verify account information
• Performs routine office clerical duties such as answering telephones, photocopying, filing, scanning or sending faxes, document tracking in financial aid system, and responding to email requests
• Responsible for the daily collection and distribution of office mail
• Assists in the preparation and mailing of office communications such as financial aid award letters
• Assists and actively participates with the registration process, and provides advice and assistance on the proper completion of all forms
• Assists with performing annual quality control audits of aid files for accuracy
• May train or assist new employees, cross train other employees or students
• Actively participate in team and department projects as necessary
• Ability to communicate effectively, both orally and in writing
• Completes other duties as assigned


Requirements:
Selection Criteria: Minimum Education & Training:
Such training as may have been gained through graduation from a four year college or university
or any equivalent combination of experience and training.


Required Knowledge, Skills & Abilities:

• Some knowledge of the principles and practices of public administration.
• Some knowledge of the principles of governmental accounting, statistics, and public personnel administration.
• Some knowledge of the sources of information, methods, and techniques used in administrative research.
• Ability to carry out, with some supervision, staff assignments requiring the organization of material and development of procedures.
• Ability to conduct studies and analyze contributing to the development of sound operational procedures.
• Ability to speak and write effectively.
• Ability to establish and maintain effective working relationships with administrative officials, other employees, and the general public.
