Important Payroll Information


Electronic Delivery of your 2012 Form W-2 is available.  (FOR STAFF EMPLOYEES ONLY)

We are excited to announce that, starting this year, you have the option to receive your W-2 electronically via Employee Self Service (ESS).  The benefits of signing up for electronic delivery include:

  • Faster delivery – have your W-2 up to a week sooner than those that choose paper delivery
  • No possibility that your W-2 might be lost, stolen, delayed or misplaced by the U.S mail service. Access is available at the same easy-to-use, secure web site (ESS) at which you already access your leave, pay, benefits, and other general employee information
  • Access can be attained even if you are away from your primary residence
  • The format of the online W-2 allows an employee to quickly and easily print, just like the current pay statement, in case a paper copy is needed
  • Access to view and print copies of your W-2/W-2c as often as needed, at your convenience

You must provide your consent to receive your W-2 in electronic format in lieu of paper format.  At any time through 12/15/2012 you may change your mind and withdraw consent to online delivery using the ESS system.  Any withdraw after that time will need to be made in writing to your payroll office.  An employee's withdrawal of consent will be effective on the date received.   If consent is withdrawn, it will only be effective for those W-2 statements not yet issued. Please note that if you consent to receive your W-2 electronically, you will not receive a paper copy of your W-2. If you do not consent to electronic delivery you will only receive your W-2 in the mail and will not be able to access it electronically.

IMPORTANT PAY DATES

FACULTY:
January 25, 2013: Independent Study/Individualized Instruction payments are to be paid.
January 25, 2013: Last Fall payment for 20 pay faculty.
March 8, 2013: Last Fall pay for 26 pay faculty.

STUDENTS:
December 28, 2012: Last Graduate Assistant stipend payment.
January 25, 2013 Last Fall paycheck.

Live student payroll checks (Non direct deposit) for the Pay dates of December 28, 2012, January 11, 2013 and January 25, 2013 will be mailed to the student home address.

PAYROLL PROCESSING CHANGES

DUE TO THE CHRISTMAS HOLIDAY TIMESHEETS FOR PPE 12/14/12 WILL BE DUE IN THE PAYROLL OFFICE BY CLOSE OF BUSINESS DECEMBER 12TH.

FEDERAL WORK STUDY STUDENT EMPLOYEES AND SUPERVISORS  DECEMBER 14TH IS THE LAST DAY OF WORK FOR THE FALL 2012 SEMESTER. UNAUTHORIZED HOURS CANNOT BE PROCESSED BY THE PAYROLL OFFICE.  PLEASE SUBMIT TIMESHEETS IN COMPLIANCE WITH THE PAYROLL SCHEDULE.

HOLIDAY REMINDERS

The day after Thanksgiving 11/23/12 is a AFSCME bargaining unit holiday. All other employees taking off the day after Thanksgiving are responsible to submit leave to leave time for the day.

Deferred Holidays

Presidents Day 2/20/12
Columbus Day 10/8/12
Veterans Day 11/11/12 (Celebrated/Earned 11/12/12)

Deferred Holidays worked/earned are used the week between Christmas and New Years (Credited for the days of 12/26-12/28). *If you started after one of the deferred holidays listed above, you will be responsible for submitting another form of leave to cover time off for this week. December 31st is a regular working day. If you plan on taking off on the 31st, another form of leave time will need to be submitted to cover this day.
