Chartfield Conversion Explained

With our conversion to the SAP financial system, the configuration of WCU's chartfields must change to a new format.  The data elements we used in the PeopleSoft financial system - Business Unit, Fund, Department, Program, Project/Grant - will be merged and modified into new elements such as the Company Code, Business Area, Fund Center, Cost Center, Application of Fund, and WBS (Work Breakdown Structure) Element.  As much as possible, in our conversion we have attempted maintain an intuitive link between what was utilized before in PeopleSoft and the new SAP numbering plan.

The new SAP Cost Center & Fund Center numbers will be 10 digits in length. 

Example 1

The Finance and Business Services Department PeopleSoft chart field string of Department = 3100, Program = EG, Project/Grant = 0, will become the SAP Cost Center 7511003100.

The first two digits represent the Business Area and will always be 75 as this designates the cost center as belonging to West Chester University. The next two digits (positions 3 & 4) represent the Application of Fund and corresponds to the PeopleSoft Program Code. Positions 5 & 6 correspond to the last two digits of the PeopleSoft department number extension.  If the department number was only four digits, then these two positions are filled with 00. The last four digits (positions 7 thru 10) correspond to the first four digits of the PeopleSoft department number.

Example 2

The Sons of the American Revolution Scholarship PeopleSoft chart field string of Department = 2240-603, Program = RES, Project/Grant = 0, will become the SAP Cost Center 7539032240.

The first two digits represent the Business Area and will always be 75 as this designates the cost center as belonging to West Chester University. The next two digits (positions 3 & 4) represent the Application of Fund and corresponds to the PeopleSoft Program Code. Positions 5 & 6 correspond to the last two digits of the PeopleSoft department number extension.  In this example, since the extension was -603 the "03" is used. The last four digits (positions 7 thru 10) correspond to the first four digits of the PeopleSoft department number.
