Hotel Orders

The Commonwealth is eliminating its Hotel Order system in favor of employee travel cards effective March 15. They have advised hotels throughout the state and others that Hotel Orders no longer should be accepted as payment. This is the last date that you will be allowed to present a hotel order to the front desk as a form of payment. Also, the last day for the Commonwealth to receive an invoice for payment to a hotel that has accepted a voucher is March 31, 2009. After that date, the invoice will be declined for payment and returned to the hotel.

In order to meet the Commonwealth’s directive, WCU’s online Hotel Order database will be disabled on March 10th. You have several options after March 10th:

* utilize the University sponsored travel card for hotel expenses and file for reimbursement
* utilize your personal credit card (non-rewards) to pay for expenses and file for reimbursement
* apply for a personal credit card through the PSECU (Pennsylvania State Education Credit Union) and file for reimbursement
* for visitors to campus, you may submit an electronic requisition for a purchase to cover the cost of lodging. Be sure that the hotel will accept a Purchase Order prior to making your reservation.

The University travel card system requires each employee to pay their travel card directly and seek reimbursement from the University. If you do not have a University travel card you may apply for one. The processing of your request will take approximately 10 business days.
