Contracts with External Parties for Use of Facilities

All requests for facilities by external parties must be made to the Coordinator for Facilities Rental and Services,  at least 60 days in advance. (Facility Use Policy)

All such requests shall indicate the name and address of the responsible party, the facilities and support services required, the nature of the event/activity, and the proposed dates and times of the activity.

The Coordinator for Facilities Rental and Services will assess the charges to be made, ascertain from the Director of Space Management whether the facilities and services are available and draft a contract for signatures.

The Coordinator for Facilities Rental and Services will forward the proposed contract to the third party for signature.

The external party will return two signed copies of the contract to the Dean, University College or his designee for signature.

All charges for the use of facilities and services shall be assessed from a predetermined scale approved by the Vice President for Administrative and Fiscal Affairs.

External parties may be required to submit with the signed contract a current Certificate of Insurance naming West Chester University as an additional insured in the following minimum amounts: Liability--$500,000; Property Damage-$50,000.

All payments, including required deposits, shall be made directly to the Bursar's Office. All charges and billings will be processed through the Bursar's Office.

Any fee waivers, or exceptions to this policy, must be approved by the Vice President of Administrative and Fiscal Affairs.
